Before students leave Northwestern for their in-country experience, passports, visas, and flights must be organized. Northwestern staff will help you throughout the process, and will provide more information once accepted. Information to get you started is below.

Group Flights

Students are responsible for booking their own transportation to and from the Chicago area before and after GESI. Students will then take a group flight, arranged by GESI, to and from their host-country; students should NOT book the international travel themselves. For in-country coordination and logistical purposes, students are required to travel on the flights GESI arranges.

A list of flight numbers and schedules can be found below once reserved, along with the estimated flight cost. The actual cost of flights will be posted as soon as they become available.

Upon arrival abroad, GESI students will be greeted at the airport by our site teams partners from the respective country.

Please note that the GESI staff books all travel for students; students should NOT book travel themselves.

Passports

If you do not have a passport, you must apply for one immediately. Passports usually take six weeks or longer, and your passport number is necessary to book international flights, which needs to be done as early as possible. Therefore, you cannot delay!

If you have a passport, make sure it will be valid for at least six months beyond your anticipated return to the United States; if it is due to expire before then, you must renew it.

For information on how and where to apply, documentation you will need to present, application forms, and passport fees:

Passport Photos:

  • General information on passport photos
  • Northwestern students can obtain passport photos at any of the following locations: WildCARD Office (basement of Norris): $12 for two photos; CVS (1711 Sherman Avenue); AAA (1724 Sherman Avenue).
  • You should get several extra photos to be used for visa applications, as necessary.

Visas

A visa is an official document issued by the government of the host country that grants entry. It is your responsibility to verify the visa requirements of your host country, and if necessary, obtain your visa. GESI is available to answer questions and provide guidance for resolving visa issues, but the embassy for each country will have the most accurate, up-to-date information. You should start this process early, as it can take anywhere from two weeks to three months to issue. Generally, you must give up your passport to obtain your visa, so international travel during the months before your departure date is often impossible. If you are not a US citizen, you will need to contact the embassy or consulate of your host country to obtain the visa requirements for your host country.

Bolivia

It is required that you obtain a tourist visa for travel in Bolivia (including participation in the FSD program). The Site Team strongly suggests that you purchase this visa upon arrival at the airport Bolivia rather than before you leave the US. Previous FSD participants recommend that purchasing the visa at the airport is much more efficient and simpler than purchasing it ahead of time. Visit the State Department and Bolivian Embassy websites (listed below) to review the information you will be required to provide upon arrival, as well as any new information regarding travel in Bolivia. The fee for the tourist visa is $160 USD and must be paid in cash to the immigration authorities upon your arrival. The money should be in crisp, new bills and exact change. Besides the fee, you must also provide your passport and an address for where you will be staying. Compile all the requirements and have them readily available in your carry-on baggage.

To see the most current requirements, consult the US Department of State. For questions, consult the Bolivian Embassy.

Costa Rica

U.S. and Canadian citizens do not need to obtain a visa in advance, as you will obtain your 90-day tourist visa upon arrival at the airport. There is no cost.

If your passport is not from the United States or Canada, please contact ICADS immediately; additional procedures may be necessary to ensure your visa.

Ghana

Visas should be obtained prior to travel and the visa fee is $60 USD. Upon country entry, students need to have 2 copies of their visa application, 2 recent passport photos, printed airline travel itinerary, proof of yellow fever vaccination and evidence of financial support or letter of invitation from host in Ghana.

For more information, please refer to the Ghanian consulate visa page. For updated information, consult the US Department of State Ghana Travel Page.

Guatemala

American Citizens: ENTRY and EXIT: A valid U.S. passport is required for all U.S. citizens to enter Guatemala and return to the United States, regardless of age. U.S. citizens do not need a visa for a stay of 90 days or less. That period can be extended for an additional 90 days upon application to Guatemalan immigration (If the initial period of stay granted upon entry is less than 90 days, any extension would be granted only for the same number of days as the initial authorization). U.S. citizen travelers should have at least 6 months of validity remaining on their U.S. passports after the date of entry or they may be turned back by the airline or immigration.

If you are not a U.S. citizen, you will need to contact the embassy or consulate of your country of origin to obtain the visa requirements for entry. It is very important that non-U.S. citizens notify us immediately if they require any documentation from us to obtain a visa.

For updated information, please consult the US Department of State Guatemala travel page and the Guatemalan Foreign Ministry.

Uganda

US citizens must obtain visa prior to travel at the cost of $100USD. Students must have proof of yellow fever vaccination. To see the most current requirements, consult the US Department of State. For questions, contact the Embassy of the Republic of Uganda.

Vietnam

We suggest you get your visa upon arrival as our local partner will do the pre-application and send you a letter before your arrival. It’s easy and convenient to obtain your visa upon arrival as long as you bring the right documentation with you. Kaya and GESI will follow-up with you in advance of applying for your visa to provide you with the required letter of invitation.

If you are an international student, you may need to apply for your tourist visa before arriving in Vietnam. If you are a non-U.S. citizen interested in going to Vietnam, please reach out to the Kaya and GESI teams to learn more about possible additional requirements.
